Camp Explorer ("we", "us") is committed to protecting your personal data in accordance with the Saudi Personal Data Protection Law (PDPL) and its implementing regulations. This policy explains what data we collect, why we collect it, how it is stored and protected, and your rights regarding that data.
1. Who We Are
Camp Explorer is an adventure and outdoor education provider based in the Kingdom of Saudi Arabia. We offer weekend camps and international expedition programmes for young people aged 13–18 and their families.
For all privacy-related enquiries, please contact us at: info@campexplorersa.com
2. Data We Collect
When you register your interest or apply for a programme we collect the following:
- Contact information – name, email address, phone number
- Participant details – date of birth, nationality, gender
- Guardian information – name, contact details, and relationship (required for participants under 18)
- Health and medical information – relevant medical conditions, dietary requirements, emergency contacts (collected only where necessary for your safety)
- Correspondence – any messages you send us by email or through our registration forms
We do not collect financial payment data directly; any fees are handled through secure arrangements communicated to you separately.
3. How We Use Your Data
We use your personal data solely for the purposes for which it was collected:
- To assess your application and manage your registration
- To communicate programme logistics, schedules, and requirements
- To keep you safe during activities — sharing relevant health information only with our qualified trip leaders and first-aid personnel
- To comply with our legal and regulatory obligations under Saudi law
- To respond to your enquiries
We do not use your data for marketing purposes without your explicit consent, and we do not build profiles or engage in automated decision-making.
4. Legal Basis for Processing
Under the PDPL, we process your personal data on the following lawful bases:
- Contract performance – processing your registration and delivering our programmes
- Vital interests – sharing health information with trip leaders to ensure participant safety
- Legal obligation – complying with applicable Saudi regulations

5. Storage & Retention
Your data is collected through Tally (tally.so), a secure online forms platform. Submitted data is stored in our secure records and is accessible only to authorised staff.
We retain personal data for the duration of your programme and for up to 3 years thereafter to address follow-up queries, legal claims, or compliance requirements. Health and medical information is retained only as long as needed for participant safety and is deleted once all obligations for a given programme are met.
6. Sharing with Third Parties
We share your personal data only in limited circumstances:
- Trip leaders and programme partners – vetted personnel and local partners receive relevant health and contact information solely to deliver the programme safely
- Tally.so – our form platform, acting as a data processor under its own privacy policy
- Legal authorities – only where required by law or to protect participant safety
We do not sell, rent, or transfer your personal data to any third party for commercial purposes.
7. Children's Data
Our programmes are designed for participants aged 13–18. Registration of anyone under 18 requires the consent of a parent or legal guardian. We treat all participant data with heightened care and ensure that health and personal information for minors is accessible only to authorised trip staff.
If you believe we have inadvertently collected data about a child without appropriate parental consent, please contact us immediately at info@campexplorersa.com and we will take prompt corrective action.
